Sheetsure: Terms of Service

These terms apply when you buy a service from Sheetsure ("we", "us"). Sheetsure is the trading name of Andrew Wilcox, a sole trader. Your contract is with Andrew Wilcox trading as Sheetsure, and all invoices and receipts are issued in that name. "You" means the business buying the service. By paying for a service you agree to these terms.
These terms are written for business customers. We do not currently sell to consumers (people buying for personal use).
1. The service and its scope
1.1 Each service is described on our offer sheet and website, and confirmed in a short written brief (usually by email) before you pay. The brief sets out what we will deliver, what you will provide and the delivery date.
1.2 We only deliver what is in the brief. Extra work (for example more rows, more tabs, more competitors or more documents) can be quoted separately before we start it.
1.3 We use AI tools to help produce the work. Andrew Wilcox reviews and approves every deliverable before it is sent to you.
1.4 Our work is practical business support. It is not legal, tax, financial, HR, or health and safety advice. Documents touching those areas are marked as drafts for review by a qualified person.
2. Payment
2.1 Prices are fixed and shown in GBP. We are not VAT registered, so no VAT is charged.
2.2 Payment is due upfront, in full, before work starts, through a Stripe payment link or invoice we send you.
2.3 For Small Automation, we agree a fixed quote in writing first, then you pay that amount upfront.
3. Turnaround
3.1 Turnaround is 48 hours (2 working days) or 72 hours (3 working days), as stated for each service. Working days are Monday to Friday, excluding UK bank holidays.
3.2 The clock starts once all three are in place: the brief is agreed, payment is received, and we have everything listed under "you provide".
3.3 If something outside our control causes a delay, we will tell you promptly and agree a new date. If we cannot deliver at all, you get a full refund (see section 7).
4. Revisions
4.1 Each service includes up to one round of revisions, requested in a single message within 7 days of delivery.
4.2 Revisions must fall within the original brief. New requirements are new work and can be quoted separately.
4.3 If we do not hear from you within 7 days of delivery, the work is treated as accepted.
5. Your responsibilities
5.1 You confirm that you are entitled to share the files and data you send us, and to have us use them for the job.
5.2 You are responsible for checking the deliverables before you rely on them, and for keeping your own backups of original files.
5.3 Please send only the data needed for the job. Where possible, remove or replace personal details that we do not need.
6. Confidentiality and data handling (UK GDPR basics)
6.1 Confidentiality. We keep your files, data and business information confidential and only use them to deliver your job. We will not share them with anyone except the service providers we rely on to do the work (see 6.4), or where the law requires it.
6.2 Our roles. If your files contain personal data (for example customer names, emails or phone numbers), you are the controller and we act as your processor. We will process that personal data only on your documented instructions (the brief), for the purpose of delivering the job.
6.3 Security. We store your files in a private working area with access limited to us, and take reasonable steps to keep them secure.
6.4 Sub-processors. We use service providers such as cloud storage, email and AI-assisted tools to deliver the work. We require appropriate confidentiality and data protection safeguards from providers that handle personal data. We will tell you before adding a new type of provider that would handle your personal data.
6.5 Retention. We delete your files and any copies 30 days after delivery, unless you ask us to delete them sooner or to keep them longer.
6.6 Breaches. If we become aware of a breach affecting your personal data, we will tell you without undue delay so you can meet your own obligations.
6.7 Your rights. We will help you, where reasonable, to respond to requests from individuals about their data. A fuller data processing agreement is available on request.
6.8 Our own records. We keep your contact details and invoices to run our business and meet tax rules. Our privacy notice explains how we handle these records.
7. Refunds and cancellation
7.1 Before work starts: you can cancel for a full refund.
7.2 After work has started but before delivery: we will refund the portion of the price that relates to work not yet done.
7.3 After delivery: we do not offer refunds for completed work that matches the brief, but your included revision round is there to put things right.
7.4 If we miss the deadline by more than 2 working days for reasons within our control, you can choose a full refund instead of waiting.
7.5 If we cannot do the job (for example the files turn out to be unusable or the job is outside what we can do), we will tell you as early as possible and give you a full refund.
7.6 Refunds go back to the original payment method, normally within 10 working days.
8. Ownership of the work
8.1 Once you have paid in full, you own the deliverables we create for you and can use and change them as you wish.
8.2 We keep the right to reuse our general know-how, methods and non-specific templates. We will never reuse your data or anything that identifies your business.
8.3 We will not use your work as a public example without your written permission.
9. Liability
9.1 We take care with every job, but we cannot guarantee that the work will achieve a particular business result.
9.2 Our total liability to you for any job is limited to the price you paid for that job.
9.3 We are not liable for indirect losses, such as lost profits, lost business or lost data, or for problems caused by information or files you provided.
9.4 Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law.
10. General
10.1 These terms, together with the agreed brief, are the whole agreement for each job. If there is a conflict, the brief wins.
10.2 We may update these terms from time to time. The version in place when you pay applies to that job.
10.3 These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
